Office Policy

Thank you for choosing Auburn Internal Medicine and Pediatrics for your family's health care needs.

It is our goal to provide the best possible medical care to you and your family. In order to achieve this goal, we need your assistance and understanding of our Office Policies.

Appointment Scheduling Policies

Please call 315-255-0947 Monday through Friday from 8:30 am to 4:30 pm

New patients 

We ask that you provide the following information: Name, address, date of birth, insurance provider, insurance identification number, responsible party (if different from the patient), and appointment time preference.

We ask that you obtain any and all pertinent medical records from your previous physician(s) prior to your appointment with us.

We are currently only taking newborns as new patients.

Please arrive early for your appointment, bring your insurance card, a list of medications (or the medicine themselves) and all billing information.

Existing patients

Same day sick visits are available Monday through Friday and are booked on a first available basis.

Saturday urgent sick visits are available 9:30 am to 11:00 am  by calling the office at 315-255-0947.

For your annual physical and routine follow-up visits, please schedule at the office following your consultation with your physician.

Please bring your insurance card with you. The medical reception staff will verify demographic information and insurance coverage with each visit.

Our reception staff will assist you with referrals to specialists or for additional studies as prescribed by your physician. 

Canceling and changing an appointment    

Please call at least 24 hours in advance if you are unable to make your appointment. This courtesy will allow us to utilize this appointment time for someone else. Please provide your name, date of birth, physician name, and appointment time to ensure accurate rescheduling. 

We will make every effort possible to reschedule you at the earliest convenient time.

Failure to provide the 24 hours advance notice or repetitive no shows for appointments will result in a $25 no show fee and may result in discharge from the practice.

Urgent Care

If you have a life threatening emergency call 911. For your safety we ask that you not "walk in" to the office without an appointment.

During regular office hours call 315-255-0947 and briefly explain your emergency. You will be connected to available nursing staff for consultation with the doctor.

At night or on weekends, call 315-255-0947 and our answering service will contact the provider on call. If you do not receive a call back in 20 minutes, please call the service again.

Payment Policy

As a courtesy to you, we will be happy to bill your insurance company for the services rendered on your visit date. 

In order to do so, it is essential that you bring a valid insurance card with you to each visit and communicate with our reception staff if there are any changes in coverage or billing information.


We participate with most insurance plans including: Medicare, Blue Cross/Excellus, The Empire Plan, United Healthcare, MVP, Rmsco, Aetna and more. We currently do not accept Medicaid.

If you are not insured by a plan with which we do business, or if you have no insurance, payment in full is expected at time of visit.

If you are insured by a plan we participate with, but don't have an up to date insurance card/information, payment in full is required at time of service. 

Any balance due after insurance payment will be your responsibility.

Co-payments and deductibles 

All co-payments are due at time of service. You may be asked to re-schedule your appointment if you do not have your co-pay.

Deductibles are based on your contract with the insurance company and are your responsibility to pay.

Failure on our part to collect co-payments at time of service is considered fraud. Please have your co-payment ready at each visit.

We accept cash, check or credit card (Visa and MasterCard) as a means of payment.

Knowing your insurance benefits is your responsibility

If you have questions regarding coverage, referral authorizations, or benefits, please call the customer service number on your  insurance card.

Non covered services

Please be aware that not every insurance policy covers every service rendered, including physical exams. Because of the vast array of insurance policies and benefits, it is impossible for our office to know every service your individual policy covers.  Please check your benefts prior to your appointment to ensure your services will be covered in full. Once services are rendered, we can not change what was billed to your insurance company. Feel free to contact our billing department with any questions. 

Self pay

If you are uninsured, you are responsible for payment in full, at the time of service. A discount will be applied.

We realize that temporary hardships sometimes arise and may affect timely payment of your account. If such problems arise, we ask that you contact our billing office to discuss the development of a payment plan to avoid interruption or possible termination of service.

Non payment

We ask that you contact the billing office directly at 315-253-8627 with any questions or concerns regarding your balance due.

Payment for any balance greater than 45 days will be expected at the time of subsequent visits. 

If you account is over 60 days past due, you will receive a letter stating that you have 15 days to pay in full.

Failure to pay the balance by 90 days may result in referral to collections or possible discharge from the practice. To prevent this, every effort will be made to work with you to establish a mutually acceptable payment plan should unforeseen circumstances arise. If the result of this effort is discharge, you would be notified via certified mail and will have 30 days to find alternative medical care.
